English PEN is one of the world's oldest human rights organisations, championing the freedom to write and the freedom to read around the world. We are the founding centre of PEN International, a worldwide writers’ association with 145 centres in more than 100 countries.

As an administration assistant, the purpose of your role will be to provide cross-organisational administrative support, maintaining clear and effective administrative systems. You will also be an active member of the staff team, contributing to organisational discussions. 



Cross organisational

  • Provide general administrative support (including but not limited to diary and inbox management; minuting meetings as required; answering phone calls, filing, archiving, shredding and maintaining office supplies)

  • Support the Head of Operations and Head of Communications as required

  • Liaising with Building Manager on room bookings and general office upkeep

  • Implement effective administration systems and processes to underpin English PEN’s overall operation, including record management and filing for both electronic and hard copy documents

  • Assist with day-to-day finance including processing invoices and expenses

  • Process new memberships, coordinating renewals, compiling and maintaining membership information packs, preparing mailings and responding to membership queries

Programme support

  • Provide administrative support to all programme managers and officers on areas including PEN Translates, PEN Transmissions assisting with the running of events and the Writers at Risk Programme as required


  • Effectively manage your own work programme, and work with colleagues to achieve this
  • Be an enthusiastic advocate for English PEN's values
  • Be a first aider and fire marshal for the office


Knowledge, skills, experience

  • Excellent organisation and office administration skills, including excellent attention to detail and a systematic approach

  • IT skills including experience in using MS Office applications like Outlook, Word and Excel

  • Ability and willingness to manage a demanding workload, work under pressure to meet deadlines

  • Excellent interpersonal skills including being an active listener

  • Excellent standards of literacy and numeracy

  • A good communicator both orally and in writing

  • Track record for delivering strong and accurate administrative work, with excellent attention to detail and experience of delivering to deadlines

  • Experience of communicating orally and in writing with diverse individuals and organisations

  • Experience of working on multiple projects and managing a demanding workload

  • Ability to work on own initiative as well as being an enthusiastic team player

  • Enthusiasm for English PEN’s mission and values

  • A passion for literature

  • Flexible, with a ‘can do’ attitude

  • Ability to remain resilient under pressure, and capable of managing a diverse portfolio of work
