ALR Music provide exclusive artists for exceptional events. By creating, managing and styling each act in house, they have established themselves as the ultimate music curators for parties, weddings and brand events in the UK and around the world.

 

Role overview: executive assistant

This is a new role and therefore is an opportunity to make it your own and grow within it.

You will have great attention to detail and accuracy and be a brilliant communicator. A self-starter and independent thinker, you will have a have a great work ethic and an enthusiastic and flexible attitude to the tasks you are set. The company is in the process of implementing new operational processes, so you will have the opportunity to be a key player in supporting these changes and increase productivity and efficiency throughout the business.

You will be assisting the managing director, whilst also supporting senior members of the team and managing aspects of the office. You should be forward-thinking and love admin and organisation.

The role will be based in the office in Soho (4 days in the office / 1 day from home). Working hours: Monday to Friday, 10am – 6pm (additional hours as required). 25 days holiday.

 

Responsibilities include:

  • Supporting the managing director on a day-to-day basis, including organising travel, meetings, diary management, drafting emails, taking notes and general admin assistance
  • Ad hoc tasks and research as required
  • Supporting other members of the team and assisting in updating and encouraging the use of new calendar and operational systems
  • Dealing with a broad spectrum of people including very senior individuals and VIP clients, this could include email correspondence, phone calls and attending in-person meetings
  • Attending meetings where required, taking notes and organising follow-up paperwork, and reminders for further meetings/tasks
  • Responsible for maintaining the relationship with the partner Travel Agency and working with them on travel itineraries; booking flights, accommodation and other requirements including collating documents for visas
  • Coordinating with 3rd party suppliers such as phone answering service, IT company, insurance brokers, lawyers etc.

 

Knowledge, skills, experience

  • Personal assistant or executive assistant experience
  • Excellent IT skills and experience working on Mac
  • Highly organised
  •  Positive attitude, calm and patient, working well in a small team
  • Good team player who is self-motivated, proactive and flexible to changing circumstances
  • Ability to work independently, prioritise and cope with deadlines and unpredictable work requests
  • A professional and enthusiastic approach to administrative tasks

Desirable

  • Experience in events or music is helpful, but not essential
