This is an exciting position as you will work across every aspect of our business, with a focus on live events & touring shows – including on sales, production and logistics. You will be liaising directly with a broad variety of creative organisations such as venues, publishers, talent agencies, PR companies, arts organisations and many more.

Fane specialises in producing live and online spoken word events, bringing the most exciting names in culture and entertainment to audiences around the world. We also run the UK’s most loved book subscription service, LoveMyRead. 

This integral role is essential to the day-to-day running of the business and all events that Fane produce. Part of this role will be to assist Managing Director, Alex Fane, supporting across the Fane group including but not limited to, Fane for Business, Fane International, Love My Read and Branding, as well as overseeing the management of the Fane office. 

You will work alongside the full team at Fane, but most closely with the Production Coordinator. You will help to deliver the highest possible quality productions and services to our key stakeholders. You will do this through event coordination and by providing practical and administrational support, maintaining systems, and ensuring the office runs seamlessly.  

 

Responsibilities 

Assisting Managing Director Alex Fane 

  • Diary management - organising meetings & calls and updating diary
  • Administrational support – contracts, digital filing
  • Arranging travel and client entertainment

Event coordination 

  • Co-ordinating all aspects of logistics across events and touring productions. Including but not limited to:
  • Assisting with tour announcements and on sales
  • Accurately briefing in artwork to our designers
  • Liaising closely between venue staff and our Production Manger assisting in the smooth and efficient advancing of events
  • Liaising with our book distribution and production assistant coordinating on the night book sales, and in some cases helping to manage book signings, at relevant events – liaising between booksellers, venues, publishers, and tour manager
  • Maintaining guest list requests & comp allocations
  • You will attend events regularly to represent Fane and assist tour managers on site as required, in London and occasionally regionally. This will include ensuring the smooth running of shows both back and front of house, and where required, helping with the book signings.
  • You will foster and maintain excellent relationships with clients, venues, and key stakeholders.
  • Updating Producers with any issues regarding tours e.g. late payments, merchandise, scheduling etc. in a timely, efficient and problem-solving manner.
  • Building an in-depth and up-to-date knowledge of clients and cultural trends, including wider reading, listening to podcasts etc is essential.
  • Liaising with building management company, ensuring the office needs are met and any issues are reported and handled efficiently
  • Ensuring office is maintained properly, that all essential supplies are in stock
  • Booking and setting up meeting rooms

Event administration

  • Maintaining company website:
  • Creating event pages
  • Ensuring event page copy, images and URL links are regularly maintained and updated
  • Liaising with our website designer on ongoing website maintenance
  • Keeping up to date with show settlements and agency fees, creating associated invoices & monitoring income.
  • Accurately and efficiently processing and booking incoming invoices.
  • Reviewing contracts following Producer negotiations, ensuring that all terms are in line with those agreed with the venue/client/company.
  • Ensuring contracts are accurately administered, recorded, and can be quickly accessed.
  • Maintaining office administration systems including digital filing.
  • Updating the Show Calendar.
  • Completing the company credit card expense forms.

 

Knowledge, skills, experience

We are looking for enthusiastic, driven, and efficient individuals with a proven track record in a related field, such as producing or promoting live events, working with a venue or festival, or alternatively from a publishing or talent agency background.

Essential

Desirable

  • Understanding of the publishing industry
  • It would be useful but not essential, if you have previous work experience within the creative industry, e.g. a publishing house or talent agency, within a venue or festival or as a production assistant 

 

The Fane office is based in Bloomsbury, London. There may be times when travelling abroad, mostly to the Fane Sydney office or to the US, will be required.
