Salary: £25,642.50 per annum

Working hours: 09:00-17.30

Contract: Fixed term 12-month contract

 

We are looking for an enthusiastic and hardworking individual to join us as the company receptionist, who will also have the opportunity to assist a leading literary agent predominantly with invoicing and scheduling. 

The Agency represents all manner of writers, directors & creatives working across film, television and theatre; from those at the peak of their careers to those at the very beginning. That range is reflected in the company too: the agents here are as varied in their taste as they are in age and experience. 

The Agency works with other successful book agencies representing their clients’ media rights and in addition, The Agency have a bespoke children’s literary department. What binds the team at The Agency is their enthusiasm for their clients, great drama and the deal-making that facilitates it.

This role provides the chance to work alongside a friendly, collaborative team and learn about the industry from an agent’s perspective. The receptionist coordinates the general administration of the office, helping us to deliver excellent client care, which is the very core of what we do. 

 

Responsibilities

  • Managing the telephone switch board
  • Running the meeting room diary
  • Welcoming visitors & setting up the meeting room with refreshments 
  • Organising the post (incoming and outgoing)
  • Logging, tracking and evaluating unsolicited submissions by prospective screenwriters and novelists
  • General office maintenance and errands (maintaining office supplies; organising couriers; printing scripts; organising travel; weekly fire alarm check)
  • Booking taxis and couriers in conjunction with company assistants
  • Contributing to our social media output
  • Updating internal databases
  • Assisting with general administration
  • Working with a senior agent, invoicing for fees on the behalf of clients, logging and tracking contracts and scheduling internal and external meetings

This job description is a guide to the nature of the work required by the Receptionist and Administrative Assistant but the post holder may be required to undertake other duties appropriate to the nature of the post as agreed with the company. 

 

Knowledge, skills and experience

  • This a role which requires a calm, considerate and organised multi-tasker with a passion for theatre, film & TV. 

We would welcome someone with:

  • A friendly and professional approach
  • Administrative experience
  • The ability to prioritise a varied workload with a strong eye for detail
