We have a new opportunity for a Workplace Services Helpdesk Coordinator to join our London team on a permanent basis. 

In this role, you’ll be responsible for receiving, documenting, processing and reporting on building services required by ITV, and will provide a central helpdesk service for the ITV London and Regional Sites. You’ll manage the coordination between in house and external service providers, contractors and suppliers in a professional and efficient way. 

You’ll also be responsible for issuing Planned Preventive Maintenance (PPM) and managing the ITV and the contractor maintenance PPM planner to ensure that all statutory compliance items are completed.

Responsibilities

Alongside the responsibilities above, you’ll also have ownership of:

  • Recording requests via telephone, e-mail or in person and input into the FM Management System
  • Liaise with Service Providers for requests relating to Maintenance, Cleaning, Catering and other centralised services
  • Administer the supply of newspaper and magazine subscriptions for all ITV sites
  • Obtaining quotes and scheduling contractors to attend breakdowns and repairs
  • Booking in contractors for planned and reactive maintenance
  • Raise PO’s for spares, breakdowns and parts
  • Manage annual leave, sickness and overtime processes
  • Coordinate mandatory employee training and inductions for new starters
  • Liaise with landlords and comply with their different processes to enable access for planned and reactive maintenance
  • Follow up on jobs logged and see through to completion weekly and/or monthly reporting from the FM Management System and analysis of requests
  • Ensures that standards of service are maintained to the levels required by ITV Workplace Services, in order to promote a professional image to internal and external clients and suppliers
  • Maintain accurate records of centralised services and budgets
  • Creating and managing housekeeping audits

Minimum criteria 

  • Proven, relevant experience in customer service and facilities management 
  • Computer Aided Facility Management (CAFM) experience is essential

Key criteria

  • A facilities management qualification and/or IOSH certificate would be advantageous
  • Excellent communication skills with the ability to build positive working relationships both on the telephone and face-to-face
  • Ability to provide routine oral and written information clearly and concisely and is able to understand and explain technical terms commonly in use in own area of work
  • Ability to maintain accurate and up to date knowledge of services available, ensuring that the experience of each client is positive and satisfactory
  • Able to contribute to the adaptation of services and systems in order to meet clients’ needs and to help to identify ways of improving standards
  • Ability to distinguish between the need to make a decision and when to defer, also contributes to the decision-making of others, by providing relevant information and opinions
  • Ability to establish facts of a situation by carrying out appropriate enquiries, identifying and using appropriate resources and data in order to determine the best course of action
  • Ability to undertake health and safety duties and responsibilities appropriate to the post.
  • Strong working knowledge of Microsoft Office programmes, including Word and Excel
