Kickstart your publishing career in a busy marketing and publicity team, working on illustrated books in art, fashion and culture.

Thames & Hudson is the leading publisher of illustrated books on visual arts, history, fashion and popular culture, and includes titles published in association with brands, institutions, and museums worldwide.

This is an exciting opportunity to work within a busy Marketing & Publicity team and provide essential administration support. The duties include organising meetings, supporting events, compiling updates, helping the team with key campaign support as required and organising travel and mailings. You will be a point of contact for internal colleagues and external stakeholders, including freelancers, authors and industry partners. While the role is focussed on admin, there will be scope to learn the ropes on publicity and marketing campaigns by supporting senior colleagues on select lead title campaigns. This role reports to the Marketing & Communities Director whilst also working closely with the Head of Publicity and Communications.

What you'll be doing

Admin

  • Providing administrative support for the marketing and publicity teams, such as scheduling meeting rooms, processing invoices and expenses and preparing meeting agendas and minutes
  • Producing Publicity & Marketing Updates; liaising with internal colleagues and freelancers to make sure these are compiled and circulated on schedule
  • Overseeing the distribution of the seasonal sales catalogue and arranging proof, advance copy and marketing mailings
  • Assisting with team administration, including filing, contacts management and occasional presentation preparation
  • Assisting publicists to retrieve and organise publicity assets and materials, including press PDFs, images and caption sheets
  • Assisting our international comms executive to arrange and file materials for our international offices
  • Supporting two senior managers with diary management and meetings as required
  • Being a key point of contact for freelance publicists and marketers; providing their materials and processing their invoices and expenses; compiling and circulating their campaign updates
  • Maintaining excellent working relationships with internal and external stakeholders

Events & Authors

  • Supporting our external events at bookshops and other venues, from invitation and RSVP admin to arranging supplies and refreshments; associated tasks including the processing of receipts and invoices
  • Helping with events in the office, including book launches, panel events and parties
  • Supporting the internal events team to organise staff enrichment events
  • Maintaining the events calendar and liaise with sales to arrange books are ordered in good time
  • Completing accurate and timely post-event reconciliations in consultation with sales and finance
  • Booking author and staff travel and accommodation; processing receipts and expenses as required
  • Liaising with freelance publicists on travel and accommodation arrangements for their authors
  • Working with sales to arrange in-office author signings, including logistics and books orders Support the team with evening and occasional weekend events– there is a time off in lieu provision for any out of hours event work

Campaign support

  • For lead title campaigns, there may be opportunity to assist senior colleagues to carry out supervised and supported marketing and publicity assistance, and the chance to learn the fundamentals if capacity allows

Knowledge, skills and experience

This is an entry-level role or ‘second’ role, in a supportive team, which would be suited to someone proactive with superb organisational and people skills. Previous publishing work experience or general office experience would be of benefit.
