
Royalties administrator (12-month FTC)
Salary: £27,000 per annum
Location: 5th Floor, HYLO, 105 Bunhill Row, London, EC1Y 8LZ
Working pattern: Hybrid - minimum of two days per week in the office; up to three days per week working from home

This is an exciting opportunity for someone who would like to enter the administrative / financial sector of the publishing industry.
Providing the rare opportunity to both work in a creative field and to learn about royalties, author statements, international taxes, and accounting procedures, this position would be a good fit for someone with a passion for the arts but also a strong sense of logic, problem solving and numerical capabilities. Reporting to the Head of Royalties you will be integrated into a multi-department environment, where we put our writers first and strive to deliver the very best customer service.
Key responsibilities
- Learning and comprehending key deal points on author/illustrator contracts, as well as inputting them into our publishing operational system, Biblio
- Managing royalty-related data (including royalty rates, advances, subsidiary rights), ensuring accuracy and understanding how it connects to author contracts, payments, and financial reporting
- Requesting bank details from new payees (authors / illustrators / agents) and entering them onto the system according to existing procedures
- Updating contact / bank details of existing payees
- Processing all types of advance payments in Biblio as per bi-weekly schedule, running relevant reports, communicating with Editorial teams requesting their confirmations and actioning the approvals (new process which will be implemented later in the year)
- Checking that payments have been made punctually and properly, as well as keeping clear records of erroneous findings
- Processing on Biblio subsidiary rights royalty statements submitted by third-parties in multiple different languages and generating sub-rights royalty invoices
- Posting sub-rights payments
- Working closely with Accounts Receivable on clearing un-allocated sub-right payments by chasing third-party publishers / agents for missing statements
- Answering authors and agents’ queries
- Manage internal queries over sub-right income and royalties to ensure an accurate information flow across multiple departments
- Participating in projects and testing of new processes / procedures
Knowledge, skills and experience
- A motivated and proactive individual with a strong desire to learn, who quickly adapts to new systems and workflows
- Detail-focused and analytically minded, with an interest in reviewing and interpreting royalty statements, sales reports, and contractual data
- Accurate and reliable in entering data (vital for contracts deal points, financial data, etc.)
- Possesses strong numeracy skills (essential for accurate royalty calculations and financial reconciliations)
- Confident in using Excel at an intermediate level, including pivot tables and formulas, and eager to further develop these skills
- Highly organised with strong time management skills; capable of prioritising tasks effectively (critical during royalty cycles and tight reporting deadlines)
- Strong interpersonal and communication skills, able to liaise professionally with authors and agents, resolving queries as well as with colleagues, and external stakeholders
