Join our finance department! Help to achieve smooth running of the finance operations and provision of effective support to the rest of the organisation, during and after its transition to The Factory.
The finance administrator will deliver a range of finance services, with a focus on cash facilities and processing of expenses, to ensure that the provision of cash to departments and shows is well administered, monitored and controlled. Contributing to Finance department’s overall efforts to achieve smooth running of the finance operations and the provision of effective support to the rest of the organisation, during and after its transition to The Factory.
 
Responsibilities
<ul>
<li>Manage cash floats and petty cash systems, including logging float requests, preparing drawdowns of cash from the bank, distributing cash, monitoring timely submission of and checking float and petty cash reconciliations. Observe internal controls related to cash held in the office or in transit, to ensure it is safe and accounted for at all times</li>
<li>Smooth running of internal systems of payroll expenses and company credit/debit card reconciliations. Ensure their timely submission and processing for import into Access Financials. Identify and highlight any taxable items, in line with the Expenses Policy. Maintain electronic and paper filing and ensure they are up to date</li>
<li>Assist financial accountant and finance administrators in monthly bank accounts reconciliations, including the reconciliations of foreign currency accounts held by Foreign Exchange providers. Provide bank information and reports from Access Financials and other sources, as and when required</li>
<li>Deputise for finance administrator-purchase ledger and finance administrator–sales ledger in their absence and assist in these areas of work, as and when required</li>
<li>Assist head of finance and financial accountant in the year-end processes within the relevant areas of responsibility. Prepare information and paperwork for auditors and any other inspection as required</li>
<li>Prepare cash outflow analysis of the BACS payment runs and individual payments, on a timely basis, to aid cashflow forecast</li>
</ul>
 
Knowledge, skills, experience
Essential

<li>Relevant experience of working in a busy finance department</li>
<li>Accuracy with excellent attention to detail</li>
<li>Strong numerical skills, interest in accounting and working towards accountancy qualification, grasp of VAT</li>
<li>Familiarity with Access Financials or other accountancy packages. A quick learner with an ability to understand new systems</li>
<li>Positive attitude including a flexible approach</li>

Would you relish the opportunity to take a pivotal role in a small Finance team of 5 at Britain’s first performing arts academy with a particular focus on credit control? Do you have excellent interpersonal skills and good customer service experience?
At Italia Conti we are going through an exciting period of transformational change. We’re relocating from our existing sites in Barbican, Clapham and Guildford to one brand new purpose-built campus in Woking in September 2022.
It’s a huge step-change for us and we are in need of a Finance Assistant to take on a role specifically on our credit control side.
Your broad experience in a Finance department, preferably within an education setting, attention to detail, proactive approach and exemplary interpersonal skills will mark you out as a strong candidate for the role. In addition, you’ll love what we do and be an all-round communicator – articulate, open, collaborative and a pleasure to work with.
 
Responsibilities
<ul>
<li>Raising sales invoices for student fees and any other income</li>
<li>Recording cash, cheque and debit/credit card receipts on spreadsheets</li>
<li>Banking of cash and cheque receipts</li>
<li>Coding and recording financial transactions and entering receipts on the accounting system</li>
<li>Preparing information as required for VAT returns</li>
<li>Ensuring customers pay invoices on time through effective credit control including issuing letters, emails and making telephone calls to the fee payers</li>
<li>Referring delinquent accounts to the Italia Conti’s appointed debt recovery firm and monitoring all debts referred to them</li>
<li>Dealing with any student/parent enquiries on fees and funding</li>
<li>Maintaining the accuracy of the fee ledgers</li>
<li>Filing historical records and retrieving necessary documents as needed for others</li>
<li>Providing administrative and clerical support as needed</li>
<li>Additional bookkeeping duties as designated by management</li>
</ul>
 
Knowledge, skills, experience
<ul>
<li>A good tertiary education, i.e. a-levels or equivalent experience</li>
<li>Previous experience in a finance role</li>
<li>Excellent interpersonal skills and the ability to build positive working relationships both as part of a busy Finance team and with Italia Conti’s customers (parents and students)</li>
<li>Excellent IT skills and the ability to and aptitude to be self sufficient, and to work with minimal IT support</li>
<li>Knowledge of SAGE and other financial software packages</li>
<li>Personal integrity and high standards for self and others</li>
<li>Proven, relevant experience in a similar role</li>
<li>Experience of recording financial transactions and of handling accounts receivable</li>
