We have been advising authors and speaking out for the profession since 1884. With over 12,500 members, the Society of Authors (SoA) provides unlimited, confidential advice on all aspects of the business of authorship, including the clause-by-clause vetting of publishing and other contracts. SoA run and support hundreds of events each year, including professional training and industry discussions, and member-led community events online and around the UK.As part of the operations team, you will be responsible for supporting the head of operations by providing front of house cover on reception as well as handling a variety of administrative tasks, building management, assisting with events, coordinating with various departments, and ensuring that daily operations run smoothly as well as providing administrative support to our 11 national, special interest groups and networks.This role is ideal for someone looking to develop a career in operations and administration, with the opportunity to support with additional responsibilities and projects as experience grows. You will play an important part in ensuring the smooth running and welcoming atmosphere of our offices, directly supporting both internal teams and our member community. To excel in this multifaceted role, you will need to be able to think on your feet, have good time management skills and enjoy wearing more than one hat to excel in this multifaceted role. Key activitiesFront of house / operations<ul><li>Maintaining kitchen supplies and ensuring that this area is kept clean and tidy throughout the week</li><li>Taking ownership of SoA stock of branding materials</li><li>Handling incoming and outgoing mail and receipt of packages for the SoA and our tenants</li><li>Handling any building/facilities issues that may arise whilst you are in the office</li><li>Providing support to the head of operations which may be wide in scope dependent on the time of year and demands of the organisation</li><li>Being on hand to take care of any day-to-day issues as directed by the head of operations. For example, in the absence of the head of operations you will be directed to co-ordinate lift repairs or other building issues</li><li>Assisting with the running meetings, board meetings and events both internal and external</li><li>Any other task reasonably requested from the management team at SoA</li></ul>Groups administration<ul><li>Social media: updating group Facebook pages including uploading events to those pages and sharing relevant news, information and updates</li><li>Coordinating nation and special interest group activity: including administration for event listings and group communications</li><li>Liaising member volunteers: coordinating and scheduling member communications, including newsletters, meetings, fielding emails from group committees. Sourcing and supporting volunteers for new groups. Arranging training for volunteers</li><li>Managing the nation and special interest group networks: including a twice-yearly session for group chairs to connecting and collaborate</li><li>Feeding into the SoA communications for nation and special interest groups: including content for The Author and SoA newsletters</li></ul>General<ul><li>Opening and closing of the reception area on your office days</li><li>Being the first aider and fire marshall for our ground floor and events space</li><li>Responsible for stationary stock supplies for the office</li></ul>Full training will be provided.
