Drama Republic is a dynamic independent TV production company, specialising in high quality drama. It is hiring an administrative assistant/personal assistant who will report on a day-to-day basis to the executive assistant (EA) and then overall to the joint CEOs and Co-Founder. The post is office-based and, in general, normal office hours apply, however, the office is a busy production environment, so a flexible approach to working hours is essential.

The administrative assistant/personal assistant's role is to assist the CEOs and Co-Founders in the day-to-day running of their busy diaries, and to provide them with assistance across all areas of the business as required. This could include but is not limited to, making travel arrangements, drafting email responses and providing summary notes from meetings; thinking ahead and anticipating their needs with a keen eye for detail. The assistant will seek to improve ways of working, streamlining and optimising processes across the company and within office management where appropriate. They will also act as a key point of contact for external queries and the company as a whole.

Responsibilities

  • Provide assistance to the CEOs and Co-Founder as required, including, but not limited to:
    • Attending meetings and taking notes
    • Troubleshooting IT and device issues and managing various company accounts (e.g. telephone and videoconferencing suppliers)
    • Printing scripts and amendments, ensuring the latest versions are available
    • Updating and maintaining key contact databases for the CEOs and Co-Founder
  • Support the executive assistant in:
    • Managing the CEO diaries and organising internal and external meetings
    • Liaising with the post-production supervisor on post-production schedule management
    • Liaising with the production coordinator to organise set visits and maintain PR cuttings and related materials
    • Managing emails for the CEO and Co-Founder, monitoring urgent messages and drafting responses where required
  • Organise local, national and overseas travel and accommodation where necessary, including long distance trips to LA
  • Reconcile company credit cards on a monthly basis
  • Maintain production contact lists and schedules for active productions
  • Support the wider team with ad hoc project tasks, including project pitch document creation
  • Manage availability-checking of producers, directors and heads of departments, maintaining accurate lists and databases
  • Organise Drama Republic programme submissions for awards and all follow up administration
  • Organise screenings, parties and celebrations, including sourcing gifts where required
  • Assist with general office administration as required, including meeting bookings, filing systems and updating holiday cards
  • Ensure the website and social media activity are kept up to date and assist with social media content generation

Knowledge, skills & experience

  • Some previous experience as a team assistant or personal assistant, ideally within a television or creative environment, is preferred but not essential
  • Good working knowledge of MS Outlook, Word, Excel, and PowerPoint; experience with other relevant software or a willingness to learn is beneficial (including Adobe Suite and videoconferencing platforms)
  • Strong interpersonal skills, with the ability to work collaboratively as a team in an open-plan department and engage politely with visitors
  • Clear professional communication skills and telephone manner
  • Ability to work effectively both independently and as part of a team in a fast-paced, busy environment, managing multiple priorities with a calm and level-headed approach
  • Demonstrable initiative and quick thinking, alongside the ability to follow instruction and adapt to changing demands
  • Excellent attention to detail with strong organisational and time management skills
  • Possess a keen interest in the work produced by Drama Republic
  • Flexibility and willingness to take on a wide range of tasks
  • High levels of discretion and integrity
