
Assistant to the producers office

Salary: £28,000 per annum
Contract: This is a full-time, fixed-term contract for 8 weeks (40 hours per week).
This role is an exciting opportunity for someone who is enthusiastic to learn about working with producers at a senior level and about developing their knowledge of administrative processes within the production industry.

Key responsibilities
- Provide secretarial and administrative support specifically to the EA for the Executive Producer. Duties to include diary management, email correspondence, travel and hotel booking, ongoing management of house seat requests, filing, project research, and such other duties as needed.
- Support the EA to the Executive Producer with managing birthdays, events, and gifting for the Executive Producer’s & ATGP’s key contacts and relationships, in collaboration with the Office Administrator.
- Specifically support the EA to the Executive Producer with managing and coordinating all house seat requests for the Executive Producer and contacts of the Executive Producer.
- Support with any other ad hoc needs of the Executive Producer’s office including welcoming guests and clients to the office, purchasing food/drink needs as may be required.
- Provide cover support for the EA to the Executive Producer during periods of annual leave.
- Provide secretarial and administrative support to the department’s Senior Producers and Head of General Management, as needed. This may include, but is not limited to, diary management, travel coordination, and purchasing lunches as required.
- In collaboration with the Office Administrator, support with daily meeting room set up, which includes providing tea, coffee, water and rearranging / clearing out the space post-meeting.
- Provide office based administrative support to ATGP’s general management team as and when it is needed.
- Support the department’s Production Assistants with administrative tasks for active and upcoming productions. This may include, but is not limited to, travel and hotel coordination, expense claims, gifting and such other duties as may be required.
Knowledge, skills and experience
- Outstanding organisational and time management skills, able to prioritise their workload effectively.
- Excellent attention to detail.
- Discretion, particularly in relation to the diary management of the Executive Producer and Senior Producers.
- Strong communication skills, with the ability to deal effectively with people at all levels inside and outside the business.
- Creative and innovative thinking in relation to problem solving.
- Resilience and an ability to work proactively on their own initiative and effectively as part of a team.
- Flexible, adaptable, and willing to go above and beyond.
- The ability to work well under pressure and a proven ability to manage and meet conflicting deadlines.
- Experience within, and knowledge of, the theatre industry is desirable.

Additional information
This is a full time (40 hours per week), fixed term contract for 8 weeks, with a possibility of an extension beyond this, depending on the needs of the business. A flexible approach to weekly working hours may be required due to the international nature of this role and correspondence across multiple time zones. Additional hours and some weekend and evening work may be required.
