
Assistant to two theatre agents

Salary: £28,000 per annum, depending on experience
Location: Primarily based at the Casarotto Ramsay office in London, with the possibility of some remote working
Contract: Full time permanent, 37.5 hours per week, plus a 1 hour unpaid daily break usually 10am – 6.30pm Monday – Friday. Due to the nature of this role some evening work will be required, and you may be asked to work additional hours from time to time.

Agents promote the work of their clients and reach out and make connections for them within the industry. They also negotiate their contracts, help them manage their schedules and work with them to strategise and decide on next best steps. Agents also often have to troubleshoot.
An exciting opportunity has arisen for an assistant to join our Theatre department full-time. You will provide administrative support to two agents and ensure the effective upkeep and management of internal systems.
This job description is a guide to the nature of the work required by the assistant and the post holder may be required to undertake other duties appropriate to the nature of the post as agreed with their managers.
Responsibilities
- Handling a high volume of emails and calls, both from clients and producers. Corresponding with clients and helping them with queries.
- Managing diaries and co-ordinating meetings for the agents and their individual clients.
- Tracking & updating information that comes in by using existing systems and databases (and updating/innovating systems as needed).
- Reviewing and administering contracts (tracking the status of contracts, circulating for signature, chasing up as necessary and ensuring we have fully executed copies)
- Putting together booking notices using information from contracts regarding details of payments to be invoiced. Working with accounts team to chase payments and support with additional administrative finance queries.
- Organising theatre tickets for agents, and both international and domestic travel for agents and clients and creating itineraries for festival attendance and press night visits.
- Keeping client bios and CV’s up to date both internally and on the website.
- Maintaining social media and composing posts to promote client’s work.
- Taking minutes in meetings and sending out scripts on behalf of the agents to Theatre, TV and Film producers.
- Creatively engaging with the theatre industry & new work, i.e. reading and seeing un-represented writers’ and directors’ work, as well as clients’ work, and feeding back. Building an understanding of different theatres and producers.
Knowledge, skills and experience
- A passion for theatre and knowledge of the theatre industry
- Computer literacy, with familiarity with Microsoft Office programs, & a personable phone manner
- Excellent communication and interpersonal skills
- High level of accuracy and attention to detail in your work
- Exceptional organisational and time management skills – ability to multi-task and work under pressure and prioritise effectively
- Experience of working collaboratively and as a team player
- An ability to maintain confidentiality
- A flexible approach to problems – a person who can learn quickly
- A strong work ethic and willingness to work some additional hours (e.g. theatre trips)
