Terms: Permanent, full time , 40 hours per week inc. 1 hour lunch break

Working hours: Monday to Friday 10am – 6pm. In addition to this there are a number of rehearsals, technical rehearsals, press nights, previews and last nights which require attendance. Ability to regularly work additional unsociable hours during busy periods around productions. A TOIL system is in operation.

The Donmar Warehouse is a 251-seat, not-for-profit theatre in Covent Garden, led by Artistic Director Tim Sheader and Executive Director Henny Finch. The Donmar Warehouse makes unmissable, exceptional productions of classic plays, new works by leading writers, and intimate musicals to thrill and inspire our audiences. The Events Administrator will be responsible for the administration and delivery of all development events at the Donmar Warehouse, working alongside the Development Events Manager and Head of Trusts and Events. This is both an administrative and customer facing role and will serve as a vital ambassador for the Donmar, representing the theatre in every task and communication.

Key responsibilities

Event Administration

  • Working with the Development Events Manager and Head of Trusts and Events and in consultation with the wider Development team and other teams, to support the planning, scheduling and delivery of all Development events.
  • Be responsible for the coordinating of logistics, communications and delivery of development events: organising tickets; collecting programmes; creating and managing guest lists; sending invitations and tracking RSVPs; booking spaces; creating and circulating reports; creating event request forms; creating and circulating briefing documents and communications internally and externally.
  • To book external venues and internal spaces for events and meetings for the development team.
  • To be the first point of contact for all development event enquiries.
  • Effectively and accurately manage the events inbox and manage enquiries for the department, escalating as needed.
  • To manage event communications ensuring pre-event comms are sent in a timely manner.
    To manage guest entry and greeting at events to ensure stewardship of the highest-possible level.
  • To support with sourcing and liaising with venues on corporate event logistics including catering, technical, AV and access requirements.
  • To support with financial processes involved with Development events working with the finance team systems.
  • To regularly update and manage our ticket booking and CRM system Spektrix as required; booking tickets, updating guest lists, pulling customer lists and reporting.


Development Team Support

  • To liaise with external venues and organise transport for the Development team as necessary.
  • To attend meetings and presentations with members of the Development team as appropriate; be the events team representative at cross-organisation meetings; minute relevant meetings; create and circulate meeting agendas and documents.
  • As part of the events department ensure that the Development Events storage facilities are kept in a neat and tidy manner; regularly stock checking and secure supplies as needed.
  • To assist the team with ticket booking.
  • To keep CRM records up to date with a focus on accurate data management.
  • Deputise for the Development Events Manager when required.
  • Attend Development events as agreed.


Cross-Organisational Responsibilities

  • To liaise across the organisation around event operations, especially with Front of House and Back of House teams
  • Work closely with marketing to ensure all events, invitations and communications align with brand style and tone of voice General Duties and Responsibilities
  • To build upon the supporter relationships to ensure satisfaction and continued support.
  • To undertake training deemed necessary.
  • To comply with the staff handbook, Equal Opportunities and Health & Safety policies at all times.

What we are looking for
Essential

  • At least 18 months of experience working in an event delivery support role, preferably in a similar sector, field, or venue. Demonstrable evidence of handling event logistics and administration such as RSVPs, enquiries, mailings, briefing notes and guest lists. (Assessed in application – again at interview.)
  • Excellent organisational, time management and problem-solving skills, ability to multi-task and prioritise a complex workload, and maintain a high degree of focus whilst working under pressure. (Assessed in application – again at interview.)
  • Excellent customer service skills with a keen awareness of client and supporter requests and balancing competing pressures and deadlines across multiple events simultaneously. (Assessed in application – again at interview.)
  • Excellent administrative and IT skills - ability to use Microsoft Word, Excel, and Outlook; and Google Suite with experience of maintaining and using databases. (Assessed across both application and interview)
  • Excellent communication skills, demonstrating the ability to communicate effectively and meticulously with all colleagues, clients, supporters and a diverse customer base. (Assessed across both application and interview)

Desirable

  • Experience of leading planning and event delivery independently.
  • Working knowledge of a theatre box office system / database such as Spektrix and email marketing platform such as DotDigital, Wordfly or Mailchimp, is desirable but not essential.
  • Has an interest in theatre and/or the arts.
  • Working experience managing allergens and dietary needs according to policy and a demonstrable understanding of Health and Safety in an Events setting.
