We are currently looking for an Events Assistant to join our Arts Planning and Producing team on a full time permanent contract. As an Events Assistant, you’ll be working with a team of Senior Event Managers, artform specialist Event Managers (e.g. Classical Music) multi-artform Event Managers and Assistant Event Managers.
As well as holding a close working relationship with all members of the Arts Planning and Producing team you’d also work closely with the wider Artistic Programming team to deliver projects with some of the biggest names in the Arts, from our renowned Resident Orchestras to producing the internationally acclaimed London Literature Festival and the longest running curator-led festival in the world, Meltdown. The Event Management team is a welcoming group full of industry leading professionals creating amazing experiences in a stunning central London location by the River Thames.
Key responsibilities
- Administrative Support & Systems: Demonstrate ownership of administrative tasks, such as managing room and equipment bookings, maintaining backstage/guest lists, and ensuring accurate event information is managed within systems like Artifax and Tessitura.
- Stakeholder Communication: Provide evidence of experience acting as a positive, well-informed point of contact for internal colleagues and external stakeholders, including high-profile artists, freelancers, and facilitators.
- Financial & Process Management: Highlight experience in supporting financial processes, such as raising Purchase Orders (POs) via Business Central, setting up suppliers, and assisting with budget tracking.
- Event Logistics: Show an ability to provide hands-on logistical support, including preparing event materials, arranging artist travel/parking, and setting up backstage requirements such as artist "riders."
- Team Coordination: Provide examples of supporting team operations, such as organizing meeting logistics, taking minutes, and managing resources to ensure they are well-stocked and follow sustainable practices.
Knowledge, skills and experience
- Methodical Administration: Showcase strong administrative skills characterised by a highly methodical approach and meticulous attention to detail.
- Professional Communication: Evidence the ability to interact professionally and maintain rapport with a wide range of individuals, from technical teams to high-profile artists and their teams.
- Proactive Workload Management: Demonstrate the capacity to handle multiple, competing priorities and meet strict deadlines within a fast-paced environment.
- Technical & IT Proficiency: Highlight experience or aptitude for learning event management systems (eg Artifax, Business Central, Tessitura) alongside proficiency in standard office tools like MS Office and Google Drive.
- Customer Service Ethos: Describe a commitment to providing high-quality service, ensuring that all artists and guests feel valued and supported throughout their experience at the centre.
