The Stage Media Company Ltd, based in London Bridge, is dedicated to providing up-to-date news and services for the UK’s theatre, performing arts and book publishing industry with two key titles: The Stage and The Bookseller. Both The Stage and The Bookseller are established leaders within their respective fields, offering industry news, authoritative reviews/interviews and insightful features.

The events co-ordinator is responsible for supporting the impeccable development, production and marketing of our vibrant events portfolio. At The Stage Media Company, events are a key revenue stream and a means through which we communicate to, and learn from, our audience. Working with the head of events, the events co-ordinator is responsible for delivering fantastic events that embody the quality and brand values that The Stage Media Company stands for.


Responsibilities

Event production

  • Support the delivery of live and digital events in collaboration with internal teams including sales, editorial and marketing.
  • Source suppliers including physical materials, location, food and beverage and creatives.
  • Coordinate logistics including schedules, speakers, judges, performers, photographers, décor and staffing.
  • Support on-the-day management and co-ordination for events including setup, registration and troubleshooting.
  • Complete administration as required to a high standard to facilitate the planning and delivery of events.
  • Research internal and external requirements for events and ensure all co-ordination is effectively communicated throughout the business.
  • Measure the impact of events on the intended audience, report on the outcomes, and provide ideas and solutions for improvement.
  • Work to specific budgets and manage all invoicing and accounts.
  • Maintain event documentation and databases such as distribution lists, guest and delegate lists, vendor contacts, and schedules of the day.
  • Support meeting co-ordination, site visits, rehearsals, and technical run-throughs.

Event branding, marketing & press

  • Collaborate with the marketing and design teams to deliver strong event branding and creative materials.
  • Support the production of print and online materials for all events, including designs for internal and external publications, social media and banner advertising.
  • Help deliver maximum exposure for advertisers and sponsors while maintaining brand values.
  • Support content creation and management of online event webpages and properties.
  • Ensure list management and developing relevant data within GDPR guidelines.
  • Support the press strategy and the development of strong relationships with relevant media outlets and journalists.


Knowledge, skills & experience

  • Excellent attention to detail and a high level of accuracy.
  • Strong organisational skills with the ability to manage time effectively, handling multiple projects and deadlines.
  • Exceptional written and verbal communication skills.
  • Ability to work collaboratively and communicate clearly with a wide range of internal and external stakeholders.
  • Excellent proficiency with digital tools and systems (e.g. Microsoft Office, Google Workspace, CRM systems, CMS platforms).
  • Proven experience in event coordination, live events, awards production, or a marketing/press environment (desirable).
  • Highly organised, efficient, and able to remain calm under pressure.
  • Flexible and adaptable to changing priorities and event requirements.
  • Proactive, with a strong sense of initiative and ownership.
  • able to prioritise competing demands and meet tight deadlines.
  • Personable, professional, and team-oriented, with strong relationship-building skills.
  • A self-starter committed to high standards and ongoing professional development.
  • Passionate about the theatre and the book publishing industry.

Additional information

Normal working hours are 9am - 5pm, with occasional evening or weekend work to cover events. This role offers a hybrid working arrangement, requiring at least three days a week at The Stage’s office on Bermondsey Street, SE1, with opportunities for remote work on the other day.
