Theo Paphitis Retail Group is made up of Ryman, Robert Dyas, Boux Avenue and London Graphic Centre, and is passionate about retail. It is a private group of businesses owned by its Chairman, Theo Paphitis, one of the UK’s most high profile business leaders. The group is also passionate about putting on a variety of creative, memorable events that include an annual colleague conference, an annual small business networking event for #SBS Small Business Sunday, charity events, their summer party, smaller internal events, an Art Prize Awards event and loads more.
That’s where you could come in! We have a rare opportunity to join the TPRG Group Communications and Events team and help to deliver a fantastic roster of events, with a great team.
The 2026 annual calendar has many key events including the #SBSEvent2026 (external - 1000+ small businesses attend), 8 #SBS Small Business Sunday regional Bootcamps around the UK, 3 Virtual Business Bootcamps, Summer Party (internal - 200 colleagues), Charity Event (150 partners, suppliers and internals - raising money for our chosen charities, eg. a Charity Shoot or activity), LGC x Theo Paphitis Art Prize (80 guests - Awards night), Store Managers’ Conference (internal - 500 colleagues + supplier activity and many more!
What you'll be doing
- Along with the Communications Director and Comms and Events Exec, helping to plan, organise and deliver all TPRG and associated events, meetings and conferences throughout the annual calendar - often juggling the needs of many events throughout the calendar year.
- Negotiating costs, agreements and terms with third-party suppliers in line with the agreed budget.
- Providing creative input on all events and to work closely with the Group Communications Director and Comms & Events Executive. We love a theme!
- Working with events production companies; briefing them in on requirements, negotiating costs and ensuring a continued good working relationship.
- Helping to manage a team of up to 35 of our internal colleague volunteers for our business event or Conference (project-based during live events).
- Analysing data to feedback on event activities for future learning.
- Bringing creativity and attention to detail in all that you do.
- Establishing strong relationships with all key stakeholders.
- Managing pre-event and onsite communication with internal and external presenters, colleagues, delegates and third-party suppliers.
- Devising detailed timeline plans and critical paths for delivery including schedules, task assignments, equipment and everything required to deliver an event.
- Recommending suppliers and negotiate the best terms for quality service, in budget.
- Sourcing venues, caterers and suppliers and negotiate costs in line with the agreed budget and requirements.
- Helping design event literature and marketing materials.
- Effectively communicating with attendees in order to confirm and gather all necessary information required for events.
- Creating detailed proposals, event briefs, and deliver against a critical path for each event.
- Identifying all aspects of event risk assessment and crisis management planning strategies. This includes any required event security.
- Troubleshooting any issues relating to the execution of events and consult the Communications Director as appropriate.
- Providing post-event analysis, budget recaps, participant feedback, reconciliation reports and incorporate any learnings into future plans.
- Creating memorable events for TPRG!
Who we are looking for
Essential
- Minimum 2 years proven events management experience in a fast paced, demanding environment.
- Experience in leading/being a key person on multiple projects and large events and being able to demonstrate this.
- Proven experience of proactively identifying challenges before they become problems and reactively solving issues that arise.
- Avid attention to detail during the planning and delivery of events.
- Experience in managing and negotiating budgets and the ability to work on event forecasts.
- Experience of managing events companies and sourcing/working with a variety of third party suppliers.
- Ability to anticipate needs, prioritise and work to tight deadlines.
- Juggle the needs for multiple events throughout the year - with the ability to plan ahead and hit deadlines.
- Strong communication skills both written and verbal.
- Proven experience with IT programmes such as Google Suite and Microsoft including Slides/Powerpoint, Docs/Word and Sheets/Excel.
Desirable
- Events qualification or equivalent - not essential but a nice to have
- Experience of using Canva, Adobe Suite or other creative apps - a nice to have
