London programming assistant (maternity cover)

The London Programming Assistant will provide full administrative support to the Director of UK Programming, ensuring the smooth running of the busy office as well as providing support to the wider London Programming department, working alongside the London Programmer. This role is ideally suited to a dynamic, self-starter keen to gain experience in programming.
Responsibilities
- Full administrative support to the Director of UK Programming (DUKP) including:
- Diary management
- Meeting and event coordination with internal and external stakeholders
- International and national travel arrangements
- Expenses
- Any other administrative support that may be required
- To assist with creating and maintaining strategy documents as directed by the DUKP.
- Prepare and circulate weekly reports and plans for the London Programming department.
- As directed by the DUKP and working with colleagues across the business, prepare information to be shared with external stakeholders including technical specifications and drawings, deal information and ticketing plans.
- Coordinate visits to ATGE’s West End theatres for external stakeholders.
- Managing House Seat requests for shows in ATGE’s West End theatres and assisting with enquiries from key stakeholders for house seats in non-ATGE venues.
- Support the London Programmer in coordinating press nights in ATGE’s West End theatres, including managing RSVPs and assisting in planning and hosting receptions.
- Support the London Programmer in ensuring the Event Management System for ATGE’s West End theatres is kept up to date.
- To read scripts and view productions as required and report back to the DUKP and London Programmer.
- Ensuring all relevant paperwork and financial records are accurate and kept up to date at all times.
- Working closely with the DUKP, London Programmer, London General Managers and other ATGE departments to continually develop and improve ATGE’s service to clients.
- To undertake general administrative duties for the London Programming department as required including amending departmental records, circulating information and providing cover in times of absence.
Knowledge, skills and experience
For this role you will:
- Be extremely proficient with Microsoft Office programs including Outlook, PowerPoint and Excel, with the ability to learn new systems where required.
- Demonstrate good judgement in prioritising tasks and managing your time. You’ll need to be very organised and manage your own workload, including being smart about competing priorities.
- Be ambitious to offer the highest quality of customer service. You’ll care about the experience people have when in contact with the DUKP and London Programming team and aim to be the best you can.
- Be approachable and have a positive attitude to supporting others. You will enjoy working with a very wide variety of people.
- Be diligent and attentive to detail, as you will be working on important documents that require a high level of accuracy.
- Have a high level of discretion. We will be able to trust you to handle confidential and commercially sensitive information.
