
Office manager/administrator, facilities - part time FTC
Salary: £20,574 per annum / FTE £36,006
Location: Oxford
Take ownership of the day-to-day running of a busy publishing office, managing facilities, office services, deliveries, events support and health and safety processes.
Bloomsbury Publishing is a leading independent publishing house, established in 1986, with authors who have won the Nobel, Pulitzer and Booker Prizes, and is the originating publisher and custodian of the Harry Potter series. Bloomsbury has offices in London, New York, New Delhi, Oxford and Sydney. Within Bloomsbury’s Academic division, it publishes under Bloomsbury, as well as under a number of prestigious and historic imprint names.
Bloomsbury Publishing has a bright, modern office just outside Oxford’s city centre. We are looking for a highly organised, capable and proactive office professional to spend four hours per day managing the day-to-day running of our office space, which is home to around 30 staff Mondays through Thursdays.
The role
We are looking for someone who is available every weekday morning from 8am until noon, therefore, the role is part-time. During the recruitment stage, there will be a chance to discuss an element of flexibility, for example, 9am to 1pm may better suit the successful candidate if they have other commitments.
Key responsibilities of the role include…
- Facilities/building management; ensuring our office space is well maintained, outsourcing tasks where necessary (e.g. maintenance and cleaning contractors).
- Liaise with our landlord to ensure the common areas of the building are well maintained.
- Assist with ad hoc projects, such as archiving or office tidy-ups.
- Day-to-day office management, including switchboard calls, incoming deliveries, and security procedures.
- Managing the post room and courier services.
- Maintaining an efficient and safe office environment.
- Ordering office supplies such as stationery.
- Coding and processing Facilities invoices for all UK offices.
- Managing meeting rooms and coordinating facilities aspects for in-house and external events.
Health & Safety
- Help manage DSE Assessments for all UK Bloomsbury staff.
- Organise Fire Marshal and First Aid training for all UK Bloomsbury staff.
- Be trained as Chief Fire Warden and Chief First Aid provider.
- Be trained as Chief Workstation Assessor.
Knowledge, skills and experience
The ideal candidate will be able to demonstrate the following:
- Experience in a similar role (office administration or office management).
- A solutions-focused approach to managing office space.
- Strong administrative skills and a high level of organisation.
- Good communication skills, both written and verbal.
- IT skills including Word, Excel, Outlook and databases.
- Confidence in dealing with internal and external contacts, with the ability to work well with people and remain calm under pressure while managing multiple tasks.
Additional Information
The role is a part-time, in-office, five days per week, 12-month fixed-term contract position based at our Bloomsbury office at Kemp House, Chawley Park, Cumnor Hill, Oxford, OX2 9PH, UK.
- 5 fully office-based days per week
- 4 hours per day (typically 8am to noon)
