We are looking for a proactive and highly organised Operations & Systems Coordinator to support the smooth day‑to‑day running of the business across data management, systems administration, and office operations. This is an exciting opportunity to join our lively dance organisation for those interested in furthering their career in operations and IT.
This is a varied coordination role that includes light first‑line IT support, data administration, and operational support. You will act as a key internal contact for staff, working closely with our external Managed Service Provider (MSP) for all technical issues, and helping ensure our systems, data, and office processes run efficiently.
This is an open-ended permanent contract. This is a full-time position (equivalent to 40 hours per week). These hours are inclusive of a one-hour paid lunch break each day. Your hours of work will be agreed with the line manager.
Key responsibilities
IT & Systems Coordination
- Light-touch IT Support. Managed Service Provider (MSP) handles technical work.
- Provide basic first‑line support for staff (simple troubleshooting, device setup, account access).
- Log and escalate technical issues to the MSP and coordinate resolutions.
- Manage user accounts, permissions, and onboarding/offboarding across Microsoft 365 with the MSP support.
- Assist with on‑site hardware setup (laptops, monitors, peripherals).
- Maintain internal IT documentation, asset lists, and simple processes.
Date & System Management
- Maintain and administer the company’s core operational platforms that manage organisational records and relationships i.e. Student Information Systems (SIS) or Customer Relationship Management (CRM) systems; and support staff in using the tools.
- Ensure data accuracy and consistency.
- Carry out data imports, updates, and cleansing activities.
- Produce basic reports and dashboards for operational and management teams.
- Assist with data governance and routine data management processes.
- Training will be provided across systems and tools as needed.
Operations Support
- Provide administrative support for day‑to‑day core operations.
- Manage office supplies, equipment ordering, and supplier coordination.
- Support operational projects, process improvements, and internal workflows.
- Help maintain smooth office operations and a well‑functioning working environment.
Meetings & Coordination
- Attend operations meetings, take notes, and track action items.
- Monitor operational tasks and follow up on deliverables.
- Support cross‑department communication where systems or data are involved.
- Provide operational support to the Head of Operations when required.
Person specification
Essential
- Confident working with data and spreadsheets.
- Basic IT troubleshooting skills (accounts, devices, software).
- Strong organisational skills and attention to detail.
- Clear communication skills with both staff and technical providers.
- Experience in administration, operations, or systems support roles.
- Experience working with a Customer Relationship Management (CRM) or database system.
- Highly organised and reliable, with strong prioritisation skills.
- Proactive problem‑solver.
- Comfortable juggling multiple responsibilities.
- Collaborative and supportive with colleagues.
- Calm, practical, and solutions‑focused.
Desirable
- Familiarity with CRM systems such as Salesforce, HubSpot, or Microsoft Dynamics 365.
- Basic knowledge of Microsoft 365 administration.
- Experience working with an MSP or IT support provider.
- Experience producing operational reports or dashboards.
- Interest in improving systems, processes, and documentation.
