Want to work at the heart of an iconic soap? From managing awards submissions to production schedules, you'll keep things running smoothly behind the scenes of Eastenders.

The PA will ensure the efficient running of the Executive Producer's office by providing a comprehensive secretarial and administrative support service to the Executive Producer. This position will consist of hybrid working with a minimum of three days a week in the office once the successful candidate is proficient in the role. Until then, they will be required to be in the office full time.

 

Responsibilities

  • To prioritise and manage all incoming correspondence, written and telephoned queries. This includes the management of the Executive Producer’s email account, monitoring email traffic and ensuring that time is allocated to respond to all emails within required timescale. Where necessary, assist the Executive Producer with draft responses or reply on their behalf.
  • To proactively manage and co-ordinate the electronic diary and schedule a variety of appointments (multi-attendee meetings, edits, story conferences) around the Executive Producer’s complex and demanding schedule.
  • To maintain and develop as appropriate efficient office and administration systems so as to ensure the smooth running of the office at all times.
  • To work to both short and longer term deadlines and arrange tasks within a daily routine.
  • To manage and co-ordinate all aspects of EastEnders’ participation in a large number of awards events during the year. This includes:
    • Writing award submissions and supporting statements to strict deadlines.
    • Extensive liaison with representatives of each event to establish their clip requirements, artist attendance, voting process and structure of event.
    • Extensive collation of clip suggestions for each category which then require the Executive Producer’s approval to strict deadlines.
    • Organisation of and overseeing edits to assemble approved clips within strict deadlines.
    • Co-ordination with external organisations regarding supply of edited material and its content.
    • Liaison with external organisations and members of the EastEnders cast regarding artist attendance and transport arrangements.
    • Liaison with external organisations regarding requirement of artists to attend specific Press events.
    • Liaison with EastEnders’ Social Media team regarding promotion for each event.
  • To prepare letters, memos, reports and other paperwork as required. Where appropriate to draft such paperwork for the Executive Producer's approval and/or on their behalf.
  • To respond to viewer correspondence received directly by the Production, formulating replies on behalf of the Executive Producer.
  • To act as the first point of contact for the Complaints Unit and Editorial Complaints Unit providing responses and information as required. Where necessary, assist with the complilation of detailed programme information for statements in response to OFCOM complaints when required.
  • In consultation with the Executive Producer and Series Producer, identify episodes that may require Action Lines at the end of an episode. To liaise with Compliance Managers and request where episodes have appropriate continuity announcements.
  • To independently respond to requests from other BBC programmes and external broadcasters to use EastEnders material and agree/decline the use as appropriate, referring up where necessary.
  • To liaise extensively with the Post Production Supervisor to co-ordinate edits, monitor status of EastEnders episodes at various stages of production and post production for the Executive Producer.
  • To arrange meetings, hospitality and take minutes when required.
  • To arrange the purchase of ad hoc gifts/items as requested and be aware of the full extent of the financial and purchasing authority of the post and to ensure that this authority is exercised in accordance with BBC Studios’ policy.

 

Knowledge, skills and experience

  • Proven experience in high-level, demanding, secretarial and administrative roles with an emphasis of providing comprehensive support to a minimum of supervision; working with highly confidential information together with an understanding of and the ability to handle confidential and commercially sensitive information with tact and sensitivity.
  • Minimum of 1 years' experience in production / on set.
  • Excellent organisation, complex diary management and planning skills.
  • Must be able to handle multiple and often conflicting requests calmly and effectively.
  • Proven experience organising events which involve venue sourcing, catering, transport options and fully accessible for approximately sixty attendees to a strict budget.
  • Proficient computer skills with strong experience of office software packages (i.e.Outlook, Word, Excel and PowerPoint.) with a minimum typing speed of 50wpm.
  • The ability to use own initiative with minimal supervision and deal with routine queries as they arise, escalating to others as necessary.
  • The ability to prioritise own workload effectively, to coordinate activities and conflicting demands to ensure that tight deadlines are met.
  • Demonstrable knowledge and understanding of EastEnders’ involvement in awards events, including the need to select appropriate clips for awards events and understanding of the post production process.
  • Effective communication skills with the ability to work well with range of people at all levels both within the BBC and external contacts.
  • The ability to deal assuredly, discreetly and tactfully with members of staff, cast, writers, directors, production and external personnel, ensuring that the BBC Respect at Work policy is adhered to at all times.
  • Excellent command of English and the ability to format the layout of paperwork appropriately.
