Location: The role will be based at our London office, Carmelite House, with a blend of in-office (3 days) and homeworking (2 days) per week.

What you'll be doing

As part of a small, friendly team, you will play a crucial role in supporting our Global Product Team. Working closely with a variety of functions across the business, duties will include (but are not limited to):

Product administration

  • Set up and maintenance of Head Contract records on Biblio
  • Raising of purchase orders in Biblio and SAP for Product Team
  • Supplier and royalties payee set-up
  • Management of guidebook invoicing
  • Coordination of fortnightly Investment Board meetings
  • Maintaining internal tracking spreadsheets to ensure accurate records are kept

Author/Trainer care

  • Drafting and sending out contracts for signature: Author, Series Editor, Contributor and Freelancer
  • Maintaining freelancer renewals spreadsheet and processing renewals as and when due
  • Arranging complimentary copies of titles and logins for author and contributors, and any additional gratis copies requested by product and content teams
  • Coordination of Rocket Phonics training – liaising with schools, author and trainers to ensure training sessions are implemented smoothly
  • Magazine Payments:
    • Collating and tracking payment sheets and budget for each issue of 14 magazine publications
    • Raising of purchase orders where relevant
    • Ensuring copyright forms are gathered and filed appropriately
    • Arranging distribution of gratis copies for contributors and subscribers

Market research

  • Building and sending out surveys as briefed by product team
  • Support with desk research/competitor research
  • Support with administration of teacher teams/focus groups in the Recollective platform
  • Tracking participant engagement
  • Arranging incentives for market research participants
  • Administrative support for standardisation and impact trials

Liaising with customers

  • Shared responsibility of divisional inboxes; responding to, actioning, or triaging queries

The ideal candidate would be someone with previous administrative experience and in possession of the following skills/attributes:

  • Good Microsoft 365 skills
  • Strong attention to detail
  • Quick and keen to grasp new processes and systems

  • Good communication skills
