Salary: £29,400

Hours: 35 hours per week. Although additional hours may be necessary in order to fulfil the post’s requirements.

National Theatre Productions (NTP) aims to extend the life of National Theatre productions, without subsidy, in London’s West End, on tour throughout the UK, on Broadway, internationally, and in collaboration with coproducing partners around the world.

The Production Assistant will support the general management team across NTP productions, taking specific responsibilities on individual productions as required.

 

Responsibilities

  • Ensuring that schedules, contact details, filing systems etc for productions are kept updated
  • Assisting with arranging interviews and recruitment processes, supporting the interviews where necessary
  • Organising travel arrangements for NTP productions. This includes booking and researching accommodation and travel, including freelancer hotels for tours, producing full itineraries where necessary and ensuring visa needs are met
  • Supporting financial systems on the production including producing and issuing purchase orders, inputting new suppliers, invoices, petty cash, and credit card statements, into the finance systems weekly
  • Working with the general management teams to prepare auditions and rehearsals as necessary, including but not limited to assisting with processing new starters, sending welcome letters, preparing welcome packs, printing and binding scripts, booking medical appointments, issuing staff cards, setting up and booking rehearsal rooms
  • Assisting in drafting and issuing contracts for artists, stage management and technical staff across productions as required
  • Tracking deals and logging sent/returned contracts as required
  • Supporting audition and rehearsal room physical set up including liaison with rehearsal room staff, assisting with day-to-day running, assisting with get-in/get-out logistics, updating rehearsal schedules, sourcing equipment, materials and resources and assisting with planning research excursions as required
  • Supporting the general managers and company managers with the day-to-day running of the productions as may be required, including assisting with company trackers, leaver forms etc
  • Working closely with the general management team to deliver robust pastoral care for companies including planning social events, wellbeing events, attending the production as required and being a familiar face to the team
  • Assisting with events including but not limited to; first and last night parties, platforms, promotional events, educational workshops, Q and As and understudy runs
  • Support the coordination of relaxed and assisted performances on tour and in the West End, working with the venues, the Access Department at the National Theatre, service providers and the Marketing team at NTP to ensure successful delivery
  • Collating and proofing programme and website copy and updating content as required
  • Liaising with creatives, associates, agents, artists and theatre patrons and processing requests efficiently and effectively across NTP
  • Dealing efficiently with house seat requests and booking tickets via the NT booking system
  • Adding events including touring dates to relevant NTP diaries as necessary
  • Attending and minuting production and general management meetings
  • Any other duties as reasonably required

 

Knowledge, skills and experience

  • Experience of having worked as part of a theatre production team
  • Proven administrative experience gained in a production, events or similar capacity
  • Experience of communicating professionally and positively with a wide range of people, including face-to-face, over the telephone and by email
  • A willingness to work flexibly and reactively with experience of creatively solving problems
  • A good attention to detail to ensure work is completed accurately
  • Excellent organisational skills with experience of managing immediate and long-term deadlines
  • Computer literacy including knowledge of Word, Excel and Outlook
  • Experience of working effectively as part of a team and on own initiative
  • Experience of financial processes, for example, tracking spend against budgets or processing invoices
  • An awareness of working with union agreements, employment contracts and HR policies and procedures
  • A willingness to undertake some UK and international travel, and occasionally work unsociable hours
  • A commitment to the values of the National Theatre and National Theatre Productions
  • An understanding of respecting confidentiality and able to work with discretion
