Become a property administrator at Southbank Centre and support a diverse team managing our iconic estate.

We are a busy department responsible for maintaining the Southbank Centre estate and the department includes the following functions: Facility, Health & Safety, Security, Sustainability, Projects, and Planning.

This role will report to the Head of Health & Safety, and Security but will support the wider department providing administrative support over different areas.

This role is perfect for an experienced administrator looking to expand their knowledge of H&S and Security and Property Management, with the opportunity to work on various responsibilities and projects.

 

Responsibilities

  • To provide comprehensive administrative support to the Property Team including diary management, finance and Health & Safety, Security and Facilities database administration
  • Prepare regular statistical reports for meetings in a compelling way
  • Take the lead with internal communications: Drafting internal comms on Property Group achievements, microsite, and communicate with diary planning on the Property Group activities and proposed tasks
  • Develop and maintain positive working relationships with other departments, stakeholders, and external partners
  • Diary management for Security and Facilities, ensuring the property projects are properly uploaded on the event diary system
  • Contractor management such as obtaining the security passes, managing their documentation, arranging their arrival on site, responding to queries

Finance administration

  • Raise purchase orders
  • Respond to payment requests
  • Ensure event security and site security invoices are processed on a weekly basis
  • Work closely with internal teams to ensure that funds are allocated to the right event type

General

  • Ensure personal understanding of and adherence to all Southbank Centre Policies
  • Maintain working relationships with colleagues, working to continually improve the profile of the team and the department
  • Provide and promote the highest level of customer service, dealing with staff and contractors' queries in a professional and courteous manner
  • Manage workload proactively, to ensure tasks are completed in a timely manner and to the highest standards, according to priority, being mindful of budgetary constraints
  • Actively participate in meetings and forums where required (internal and external), contributing to and initiating ideas for the development of the department
  • Ensure that all compliance documents and records are efficiently uploaded
  • Maintain strict confidentiality regarding all matters of the Company’s affairs, especially when supporting investigations
  • Able to demonstrate an understanding of and commitment to the role that diversity and inclusion play in the activities of the Southbank Centre as a whole and in the work of this particular job
  • Any other duties as reasonably requested by your line manager and or Head of Department

  • Ability to work autonomously or as part of a team

  • Able to effectively communicate at all levels and the able to handle challenging situations and people
  • Capable of striving to achieve results at the highest standard
  • Able to demonstrate a working knowledge of IT and numerical skills: Excel pivot table analysis is essential and a working knowledge of DAX is desirable
  • Able to learn quickly and keen to broaden personal skills and knowledge
  • Process-driven and has the ability to balance and prioritise a busy workload
  • Continuously seek ways to improve personal, team and business performance
