Contract: full-time, permanent

Location: 2 Granary Square, London N1C 4BH (currently undertaking a hybrid working trial, which requires staff to be in the office a minimum of 2 days per week, due to be reviewed at the end of May)

Art Fund is the national fundraising charity for art. Through their work they help make art more accessible to as many visitors as possible, wherever they are. They give grants to help museums and galleries acquire works of art for their collections, share them with wide audiences, and support the training and professional development of curators. They are supported by their growing membership of 130,000 through the National Art Pass, as well as the generosity of many trusts, foundations and other individuals.

As programme assistant you'll support the programme team with the delivery of Art Fund's annual grant-making programmes by providing administrative assistance and fostering good relationships with their museum and art professionals network.

Your key responsibilities will include:

  • Responding to and redirecting enquiries received by the programme team
  • Processing grant applications and grant payments
  • Assessing applications
  • Preparing papers for trustee and panel meetings
  • Producing and sending paperwork related to applications
  • Troubleshooting and escalating technical issues reported by applicants
  • Keeping up to date and accurate records across Art Fund systems and databases

Knowledge, skills, experience

Essential

  • Experience of work in an administrative role or office environment
  • Experience of handling telephone and written enquiries from clients, the public or supporters
  • Experience of using database systems and recording data accurately
  • Interest in art, history and/or museums
  • Excellent communication skills, both written and verbal
  • Organised, with ability to prioritise tasks and work with minimal supervision
  • Highly competent at using MS Office programmes including Excel, Word and Outlook
  • Ability to take initiative and have an independent approach to problem-solving

Desirable

  • Experience in a customer service/contact centre or technical support role
  • Recognised qualification in Administration, Culture, Heritage or related subject
  • An understanding of the museums or cultural sector and organisations within it
  • Understanding of data protection
  • Experience in using Adobe Acrobat or programmes to create PDFs and multi-page documents
