

Articulation schools liaison officer (maternity cover)
Salary: £18,684.60 per annum (pro rata amount of £31,141 per annum)

Contract: maternity cover fixed term contract for up to 12 months
Hours: 21 hours (3 days) per week
Help deliver the National Gallery’s Articulation programme by supporting schools, teachers and events across the UK.
The National Gallery is an art museum in Trafalgar Square in the City of Westminster, in Central London, England. Founded in 1824, it houses a collection of over 2,300 paintings dating from the mid-13th century to 1900.
We are seeking an organised and proactive maternity cover Schools Liaison Officer to join Articulation, the National Gallery's flagship arts and oracy programme for young people. This is a fixed term, part time maternity cover contract for up to 12 months. This varied role combines administration, event coordination and relationship management. You will be the first point of contact for participating schools, supporting teachers throughout the Articulation Prize journey, coordinating bookings and logistics, and helping to ensure a positive and seamless experience for all participants.
Working with colleagues, partner venues and schools across the UK, you will support the delivery of regional heats, Discovery Days, and the Articulation Grand Final. You will also coordinate programme data and evaluation, helping to demonstrate Articulation's impact and support future development. Scope of job
- To be the first point of contact for schools
- Administer the schools booking system for the Articulation Prize for all heats and Grand Final to include: online application form administration, invoicing, audience booking forms, photo consents, tour bookings, parking requests, disabled access requests and dietary requirements
- Liaise with host venues to provide accurate event information to schools
- Build, nurture and support teachers to take part in the initiative
- Target and build relations with new schools supported by the Outreach & Alumni Manager
- Maintain the schools’ databases using the National Gallery’s database systems
- Coordinate receipt of speakers’ names, titles of talks and PowerPoint presentations for all Articulation Regional Heats and Finals. Lead on the compilation of event presentations
- Regularly liaise with schools to ensure low levels of withdrawal, offering guidance on the prize process and to keep schools aware of deadlines
- Administer bookings for Articulation Discovery Days (online booking forms, photo consents, parking requests, disabled access requests and dietary requirements, liaise with venues to provide accurate event information to schools)
- Coordinate the Articulation Conference event with a particular focus on the schools booking system and guests, tour bookings, parking requests, disabled access requests and dietary requirements, liaise with venues to provide accurate event information to schools, delegate packs
- Ensure invoices are paid in a timely fashion and pursue outstanding invoices with support from Finance
- Ensure that each event has all the resources required and is packed for in a timely fashion
- Liaise with colleagues to provide timely information for event programmes and registration
- Continue the process of streamlining and improving the application process
Key required skills
- The ability to coordinate and handle large amounts of information in a structured system
- An ability to work under pressure and to deadlines
- Experience in organising and delivering events
- Excellent communication skills with a calm, confident and sympathetic manner required to nurture and support busy teachers who undertake Articulation as an extra -curricular activity
- A proven ability to multi -task, manage your own workload, work flexibly and independently as required
- Experience of working with schools and young people
Excellent working knowledge of Microsoft Office
