Propstore is looking for someone with an interest in film, music and memorabilia to join its auction team in Rickmansworth near London.

In 1998, Propstore was founded by Stephen Lane, whose passion for films led him to source original props and costumes from his favourite movies. He not only connected collectors with these coveted items but also established archival standards for prop art, a blend of fine art and memorabilia. Supported by a team of film enthusiasts, Propstore has embarked on a mission to locate, research, and preserve important movie artefacts from around the world. Today, over 25 years later, Propstore thrives with more than 70 employees across London and Los Angeles, housing over 25,000 archived props and costumes.

Creative Access is excited to be recruiting a consignments administrator for this junior-level role at Propstore's Rickmansworth office. The purpose of this role is to ensure the smooth administration of the Propstore UK consignments team. The role will handle the key administrative aspects of supporting the Consignment directors, liaising with potential sellers and internal departments to ensure all administration is completed accurately and efficiently, and proactive client service is given to all Sellers.

 

Responsibilities

  • Confidently and professionally communicate with clients and deliver a high level of proactive customer service using appropriate business style and tone
  • Liaise with sellers directly, respond to queries and assist sellers with managing their accounts with Propstore
  • Assist Sellers before the auction with contract and payment documentation, and assist with shipping information, collaborating with internal departments where required
  • Manage multiple tasks simultaneously while meeting deadlines
  • Effectively liaise with clients and multiple internal departments, ensuring all auction processes and procedures are followed
  • Coordinate and manage all pre-sale administrative communication with sellers, handling documentation and ensure all information is accurate and complete
  • Accurately maintain spreadsheets and internal systems with up-to-date information
  • Coordinate the communication of post-auction results and property returns conversations with sellers.

 

Knowledge, skills and experience

  • Previous experience in an administrative role and client facing role is preferable
  • Familiarity with the auction process and consignments would be advantageous but is not required
  • Interest in Films, Music and Memorabilia is beneficial
  • Proficient with MS Office products and overall IT literacy
  • Eager to learn new skills and progress within the business
  • Excellent written and verbal communication skills
  • Strong organisation skills, ability to plan and manage a high volume of task
  • Experience and confident with handling data and sensitive information
  • Ability to accurately follow established processes and procedures, and learn and adapt to new procedures as needed
  • Ability to work effectively within a team, supporting colleagues and contributing to a positive team environment
  • Flexibility to assist with tasks outside of immediate responsibilities when needed
  • Strong aptitude for learning new software and technology quickly.
