Location: Hybrid – 4 days/week in London office and 1 day/week from home

Working hours: 9am - 5pm, Monday - Friday

Shakespeare’s Globe is a world-renowned performing arts venue, cultural attraction and education centre located on the bank of the River Thames in London. It celebrates Shakespeare’s transformative impact on the world by conducting a radical theatrical experiment. Inspired and informed by the unique historic playing conditions of two beautiful iconic theatres, the Globe's diverse programme of work harnesses the power of performance, cultivates intellectual curiosity and excites learning to make Shakespeare and, more recently, exciting new writing accessible for all.

As an education administrator, you will learn how to ensure the effective running of daily activities through in-person and online workshop support, administrative planning and assistance for the Education department. The Learning team has schools visiting every day and you will share responsibility for greeting them and ensuring they have a positive experience at the Globe. You will also be central to all of the administrative work that makes the Learning experiences possible. We are looking for a positive communicator with exceptional attention to detail and the willingness to learn new systems, use them effectively and suggest improvements. 

 

Key activities

  • Assist the Education team to ensure that all projects, courses and events are planned, staffed and resourced to a consistently high standard.
  • Be a welcoming and supportive contact for participants and groups attending the activities across Shakespeare’s Globe sites. Sign-in groups on arrival, liaise with the Front of House team, monitor attendance and effectively handle enquiries relating to the event.
  • Assist with data entry on relevant booking systems. Take responsibility for daily administrative tasks (emails, scheduling, arranging resources, mailings etc), ensuring that records and data are carefully maintained and monitored.
  • Work as part of your team to create and contribute to regular timetables and planners to give an overview of Education’s upcoming projects, tasks and meetings. Disseminate this information in cross-departmental operations meetings where necessary.
  • Assist the department as lead support in the generation of purchase orders and processing of invoices and expenses; assist with processing credit card spend; assist with the monthly reconciliation of finance statements and cash floats.
  • Ensure that appropriate spaces are booked and prepared for sessions and events. This could include technical set-up, the provision of refreshments, or preparing workshop resources. Ensure that the spaces are cleared after each session in preparation for the next booking.
  • Ensure that all procedures for security, health and safety and good housekeeping are properly carried out in line with the working practices of Shakespeare’s Globe.
  • Communicate positively to inspire a continued sense of community and connection with Freelancers.
  • Liaise with Education Practitioners, Faculty members, theatre professionals and visiting speakers to ensure the smooth running of Education activities under the guidance of senior team members and the line manager.
  • Source props and costumes for rehearsals and performances and ensure the safe keeping and return of these items.
  • Gain familiarity with the Education product offering, understanding how activities are effectively delivered in order to respond proactively to queries.

 

What we are looking for

  • An interest in working with the general public and students from a wide range of backgrounds.
  • Ideally, an interest in the arts/theatre; you don’t have to be an expert or big fan of Shakespeare, just understand the potential of his work as a vehicle for expanding young people’s thinking about people and the world. Sometimes, this potential comes from debate about his work and legacy – something the organisation acknowledges and encourages.
  • Administrative & customer service skills gained in any relevant environment (this doesn't need to be professional experience)
  • Good time management and organisational skills.
  • Attention to detail.
  • Willingness to learn new systems and suggest improvements.
  • Keen ability to communicate effectively with a wide range of people.
  • Ability to respond rapidly and calmly to changing situations.
  • Discretion, sensitivity and tact.
  • The ability to work well as part of a team.
  • Willingness to learn, be open to new ideas, and to constructively receive guidance.
  • A good working knowledge of Windows-based software (including Excel).
  • You may have a relevant degree (e.g. in arts, English literature, or other skills related to the role) but this is not essential.
