This role ensures the effective and efficient running of daily Education activities through administrative and organisational support, with particular focus on families and young people’s events, research activities and educational hires. The Education Producing team share responsibility for the programming and delivery of public-facing Education activity, alongside site-wide space bookings. The Education Producing administrator assists activity planning, working collaboratively alongside other departments to support the effective use of workshop and public spaces, creating and updating Artifax bookings, daily use of CRM booking and reporting, responding proactively to practical issues, ensuring tidy and welcoming spaces, being a positive point of contact for participants, and ensuring colleagues are aware of and understand daily Education output.
This role also works with other Education administrators, with support from Senior Coordinators and through managerial guidance, to ensure the daily operational and practical priorities of the department are met.
Key activities
- Assist the Education Producing team to ensure that all projects, courses, events and meetings are appropriately administered, planned, staffed and resourced for relevant in-person, off-site and online activities.
- Support the Education Producing team in the practical delivery of public-facing events, projects, hires, courses and rehearsals.
- Be a welcoming and supportive contact for participants and audiences attending activities. Sign-in groups on arrival, monitor attendance and effectively handle enquiries relating to the event and wider work.
- Ensure that all procedures for security, health and safety and good housekeeping are properly carried out, in line with managerial guidance and the working practices of Shakespeare’s Globe.
- Contribute to regular schedules to provide an overview of upcoming Education events and projects.
- Assist with data entry on relevant booking and customer relationship management (CRM) systems. Take responsibility for daily administrative tasks (emails, scheduling, arranging resources, mailings etc), ensuring that records and data are carefully maintained and monitored.
- Assist the department in finance processes, including purchase order generation, invoicing, credit card spend reconciliation, and processing expenses.
- Ensure that appropriate spaces are booked and prepared for sessions and events. This could include technical set-up, the provision of refreshments, or preparing workshop resources. Ensure that the spaces are cleared after each session in preparation for the next booking, in collaboration with other teams.
- Liaise with Education practitioners, Faculty members, creative professionals and visiting speakers to ensure the smooth running of Education activities, with guidance from Education Producing team members.
- Source, catalogue and store props and costumes for rehearsals and performances, and ensure the safe keeping of these items.
- On occasion, act as a Stage Supervisor for workshops and events on the Globe stage and in the Sam Wanamaker Playhouse.
- Gain and maintain familiarity with the Education offer, understanding how activities are effectively delivered in order to respond proactively to queries.
- Assist the Education and Marketing teams in creating or liaising on materials (e.g.: programmes and digital promotional materials) for specific projects.
- Attend relevant departmental meetings, events and training sessions, whilst taking an active interest in the wider work of the Education department.
Knowledge, skills and experience
- Good time management and organisational skills, with an understanding of task prioritisation when working to deadlines.
- Experience and ability to communicate effectively with a wide range of people.
- Ability to respond rapidly and calmly to changing situations whilst updating relevant team members.
- Ability to positively welcome individuals, audiences and participants, with proven experience of collaborating with a range of young people and adults with differing needs.
- A good working knowledge of Microsoft Office, including Excel and Word.
- The ability to work well as part of a team, sharing ideas, considering other views, and working constructively to solve issues.
- Willingness to learn, be open to new ideas, and constructively receive feedback.
- Discretion, sensitivity and tact, especially when handling confidential information.
- Demonstrable interest in the programming and delivery of educational projects for young people and adults.
