About the role

As our new administrator, you will provide comprehensive administrative support to the product management department, ensuring administration activities demonstrate best practice, and are consistent with the division’s vision and values. You will be a first point of contact for administration support to team members and external suppliers, providing accurate advice and up-to-date information by relevant methods in order to assist, help co-ordinate and enable operations and provide an effective service.

This role is ideally suited to someone proactive and inquisitive who has good Excel and/or database skills who can establish and implement new procedures; review and improve processes, workflows and systems.

Duties will also include:

  • Support product approval processes, helping to advise on and run administrative aspects, and including entry and manipulation of publishing proposal data in relevant systems
  • Support processes relating to IP and Royalties; including advice to Publishers, trouble-shooting and ensuring info is accurate and loaded in a timely manner
  • Providing dedicated support to Portfolio Product Managers/Heads of, including processing of expenses, overseeing travel and meeting room bookings, assisting with the organisation of team/project meetings or events, as required
  • Processing contracts and correspondence for authors and a range of other external suppliers and freelancers, as requested by members of the Department
  • Support local budgetary and finance processes, as required; monitoring and tracking of expenditure
  • Prepare reports from various systems, on request, to enable review and decision-making
  • Help maintain and develop departmental and divisional administrative and filing systems in order to provide all team members with efficient and easy means of saving, sharing and retrieving information
  • Maintain, build and share knowledge and insight around various internal systems, processes and workflows, ensuring staff and other users, including new starters, receive initial support
  • Help provide working cover across the Administration team, and support the training and induction of new administrative team members

  • Experience of multiple business systems and software

Desirable

  • Experience of continuous business process improvement and previous experience of working in a publishing organisation are both desirable

Please be aware that we intend to hold interviews for this position during the week commencing 20th June.

We operate a hybrid working policy and expect this role to require approximately 1 day per week in the Oxford office, subject to change.
