Bonnier Books have a brand-new opportunity for a facilities assistant to help ensure the smooth running of their central London office. This role will also support their senior leadership team with administration.

They are looking for a highly organised individual who is seeking a busy and varied role, with the opportunity to learn the fundamentals of office management over the course of twelve months with Bonnier Books UK.

What you will learn

  • Assist the facilities manager with day-to-day administrative tasks such as responding to general email enquiries, managing stationery orders, monitoring incoming and outgoing post and assisting with courier bookings
  • Register and greet guests at Victoria House
  • Expenses and purchase order filing
  • Assist the facilities manager with organising and coordinating company events, including book fairs (and which would involve travel to Bologna and Frankfurt)
  • Support with Health & Safety administration and arrange first aid and fire marshal training with third party providers, as directed
  • Arrange building the passes for new hires
  • Liaise with Bonnier Books UK’s building managers as required
  • Support the senior leadership team with diary management, as required
  • Book and manage meetings and room bookings, as required by the senior leadership team
  • Be available to attend meetings to minute and record actions, as required by the senior leadership team
  • Take responsibility for booking travel arrangements for the senior leadership team

Knowledge, skills, experience

  • Excellent communication and interpersonal skills with a clear and thoughtful communication style
  • Excellent attention to detail
  • Ability to build trust
  • A self-starter who is proactive and solutions-focused with the ability to prioritise
  • Collaborative and a team player
  • Proficient in Microsoft Office, in particular Word and Excel
